Our legal basis for using your personal data

HLB Recruitment Ltd is committed to ensuring that the data we collect, store, use, process, transfer and disclose from prospective candidates, contractors, clients and referees is done only in so far as is necessary for our legitimate business (recruitment) interests and that we need this information as a recruitment agency to find potential candidates and roles and to assess candidate’s suitability to match the two.  We are committed to ensure this data is processed fairly and lawfully and used only for the purposes set out in this policy.

What data we may collect

HLB may collect your personal details, including but not limited to your name and contact details (together with your e-mail address) and other relevant information from your CV.  On occasions this may also include - sensitive personal information such as details of criminal convictions, ethnic origin, physical or mental health conditions.

How we use this data

This information is held, used and disclosed to provide our services to you as follows;

To provide our recruitment services to you and to facilitate the recruitment process;
To match your details with job vacancies, to assist us in finding a position that is most suitable for you and to send your personal information (including sensitive personal information) to clients in order to apply for jobs;
To enable you to submit your CV or apply online for jobs or to hear about future roles that may be of interest to you;
To send your information to clients in order to apply for jobs or to assess your suitability for jobs
To answer your enquiries;
To third parties where we have retained them to provide services that we, you or our client have requested including references, qualifications and criminal reference checking services, verification of the details you have provided from third party sources, psychometric evaluations or skill tests;
To use your information in an anonymous way to monitor compliance with our equal opportunities policy;
To fulfil contractual obligations with our clients
To respond to regulatory or law enforcement agencies, if they require us to do so. We will also disclose your information where we are permitted and requested to do so by law.
With regards to our clients, we store your personal data and/or the personal data of individual contacts at your organisation as well as keeping records of our conversations, meetings, registered jobs and placements as is necessary to provide our recruitment services to you.
In relation to our suppliers, we use and store the personal data of individuals within your organisation as well as your financial details in order to use and pay for your services.
If we receive your data from a candidate as one of their referees, we use it in order to contact you for a reference as is necessary as a legitimate part of our business processes and quality assurance procedures.
We may also collect information from third parties such as job boards, via word of mouth (ie recommendation from colleagues) and publicly available websites (e.g. social media), to offer recruitment services we think may be of interest.


We may seek your consent to process, use or disclose your information for any other purpose not listed above.

Where your data is stored

The personal data that you provide to us is kept inside the European Economic Area and generally not disclosed outside of it.  However in some circumstances it may be disclosed (as above) to clients located outside of the European Economic Area and if this occurs we will take steps with the aim of ensuring that your privacy rights continue to be protected as outlined in this Privacy Policy.

We may hold, use and disclose your personal data (as detailed above) during the period of your relationship with us and, unless specifically instructed otherwise by you, for a reasonable period of time thereafter in order to inform you about further roles or recruitment services which we think may be of interest to you. We will take all necessary steps to ensure that the privacy of your information is maintained for the period of retention.


We are committed to employing security measures to protect your information from access by unauthorised persons and to prevent accidental or unlawful processing, disclosure, destruction, loss, alteration and damage.
